How pharmacies use an invoice
Besides walk-in customers, many pharmacies supply clinics, schools, companies and smaller chemists on credit. Those customers need a proper invoice before they pay, often with a due date and your bank details.
Writing the items on a pharmacy invoice
List each item or service on its own line, for example Paracetamol 500mg, Amoxicillin 500mg capsules, Oral rehydration salts, with the quantity and the price for one unit. The generator adds up each line and the total due. Below the items, add the date you expect payment and your bank details, so the customer can pay the moment they open the invoice.
Tips for pharmacies
- Write the drug name, strength and pack size on each line, so there is no confusion about what was supplied.
- Agree the payment period (for example 30 days) and put the due date on the invoice.
- Keep a copy of each invoice and tick it off when the transfer arrives.
Following up until you are paid
Put a clear due date on every invoice. If the date passes, send a short, polite reminder on WhatsApp with the invoice attached. When the customer pays, give them a receipt, and if they pay only part, give a part payment receipt showing the balance.
