A hospital invoice tells the customer what they owe, what it is for, and when and how to pay. Send a hospital invoice when the patient or their employer will pay later: an admission bill on discharge, a company that pays for its staff, or an HMO claim. The free generator below is set up for hospitals and private clinics: add your items, due date and bank details, then download the PDF or send it on WhatsApp.

Example: a filled Hospital Invoice
A patient is treated and discharged, and their employer has agreed to pay. The hospital sends the employer an invoice for consultation, tests and drugs, payable within 14 days.
Consultation (general outpatient): 1 x ₦15,000 = ₦15,000
Full blood count (FBC): 1 x ₦8,000 = ₦8,000
Malaria parasite test: 1 x ₦4,000 = ₦4,000
Drugs dispensed (antimalarial course): 1 x ₦6,500 = ₦6,500
Total: ₦33,500. These amounts are examples; use your own prices.
Common mistakes to avoid
- Writing "medical bill" as one line instead of listing consultation, tests and drugs
- Leaving out the patient's hospital number, so the bill can't be matched to the file
- Not showing what the HMO covers and what the patient must pay
- Sending the invoice without a due date
Need a different document?
- Customer has already paid? Give a hospital receipt.
- Customer wants a price before deciding? Send a proforma invoice first.
How hospitals and private clinics use an invoice
Most private hospitals bill a patient for several things at once: the consultation, lab tests, drugs, and sometimes a bed or a procedure. Patients often pay part in cash or transfer and the rest later, and many have an HMO that covers only some of the bill.
Writing the items on a hospital invoice
List each item or service on its own line, for example Consultation, Full blood count, Malaria parasite test, with the quantity and the price for one unit. The generator adds up each line and the total due. Below the items, add the date you expect payment and your bank details, so the customer can pay the moment they open the invoice.
Tips for hospitals and private clinics
- List every service on its own line, so the patient (or their HMO) can see exactly what the money covers.
- Put the patient’s card or hospital number on every bill, so it matches the patient file.
- If an HMO is paying part of the bill, write the HMO name and the amount the patient owes separately.
Following up until you are paid
Put a clear due date on every invoice. If the date passes, send a short, polite reminder on WhatsApp with the invoice attached. When the customer pays, give them a receipt, and if they pay only part, give a part payment receipt showing the balance.
Frequently asked questions
Can I list drugs and lab tests on the same hospital bill?
Yes. Put each drug and each test on its own line with its price. The total is worked out for you.
How do I bill a patient whose HMO pays part of the bill?
List the full services, then use the note to show the HMO name and the amount the patient owes. Bill the HMO separately for its share.
Can I send this invoice on WhatsApp?
Yes. Download it as a PDF and send it in the customer's chat, then follow up there when the due date comes.
